A Demo of my Referral and Reward Program Using HubSpot, Basecamp, Tremendous, and Zapier

If you're looking to set up a client referral program that integrates directly with your HubSpot environment—without the need for separate software—this post is for you.

At Whole Hart Impact, I built a streamlined referral and reward system using HubSpot, Zapier, Basecamp, and Tremendous. Here's a breakdown of what it looks like in action. In a separate video (or videos), I will break down how I set all this up. Subscribe below for those updates.

Key Features of the Referral System

  • No separate referral portal: Referrers don’t need a separate login.

  • Real-time updates: Referrers track progress live via a public Basecamp link.

  • Automated workflows: Form submissions and updates in HubSpot trigger downstream actions automatically.

  • Reward flexibility: Rewards are issued automatically via Tremendous based on deal progression.

How It Works

  1. Referral Form Submission

    • Users can refer themselves or another organization using a HubSpot form embedded on a dedicated referral webpage.

    • This form triggers a Zapier workflow that:

      • Creates the referral contact.

      • Associates the referrer and referee in HubSpot.

      • Generates a Basecamp progress tracker and shares the link with the referrer.

  2. Referral Tracking in Basecamp

    • Referrers get a live link showing the status of each introduction.

    • Tracker stages include:

      • Introduction received

      • Connected

      • Engaged in trial

      • Working together long-term

      • Reward paid
  3. HubSpot Workflow

    • As contacts progress through stages in HubSpot, automations update the Basecamp tracker and notify the referrer.

    • For example, moving a lead to “Connected” triggers an update in the progress tracker and sends an email to the referrer.

  4. Reward Send

    • When a referral turns into a long-term client, a reward amount is entered in HubSpot.

    • If greater than zero, a Tremendous gift card is automatically issued, letting the referrer choose their reward (e.g., Visa card, Amazon gift card, charity donation).

  5. Live Sync and Updates

    • Name or data changes in HubSpot automatically reflect in Basecamp.

    • Multiple referrals from a single referrer are tracked in one view.

Final Thoughts

This system keeps everything centralized in HubSpot and provides full visibility and automation for both your team and your referrers. It’s customizable, scalable, and requires no additional login or referral tracking tools.
